Compliance: How to properly manage your construction licenses

All you have to do is open the app

You’re going about your day; one that’s full of bidding deadlines, specific project tasks, and follow up. Something that likely isn’t on your mind is that license renewal due soon. Having up-to-date licenses is not only a safety issue, but a compliance one too. Organizations like OSHA and other compliance regulations exist for a reason and as a construction business owner, it’s crucial that you follow them.

Here are some easy every day steps you can follow to stay compliant and properly manage your construction licenses.

Step One: Understand your company’s specific requirements.

As a seasoned pro, you probably already know that there is a difference between state regulations and OSHA regulations. But do you know what they are for your specific company? And for the states that you do business in? Properly identifying these requirements is the first step to managing compliance and risk.

Step Two: Identify your gaps and conduct an inventory.

Once you have a good grasp on the specifics, take a look at your company. Where have you maybe missed the mark, or what can you improve upon? For example, look at your compliance documents and make sure they are up to date, filed accordingly, and in a secure location. If you are missing anything important, whether it be training documents or safety procedures, make sure you take the proper steps to get back on the right track.

Step Three: Start looking at your mail.

If you have any old mail lying around, take a quick glance at it. Oftentimes, license renewal notices will come through snail mail in bland envelopes you or your office staff might overlook. From here on out, take a closer look at all the documents you receive in the mail to make sure you’re not missing anything important.

Step Four: Consistently renew staff training.

If you don’t have a safety committee, now might be a good time to start one. But regardless of whether you have one or not, your management team and employees should constantly be up-to-date on their trainings and certifications. This not only helps keep individuals safe in the workplace, but also gives them a better understanding of the compliance and regulations to follow. Take this one step further, too, and implement an efficient way to document all employee training.

Step Five: Implement a tracking system.

One of the most effective ways to track all your documents, training, and license renewals is via a mobile app like Thunderbolt Compliance. The beauty of an application is that you can take it anywhere, so whenever you need to access licenses or permits or other important compliance documentation, all you have to do is open the app.

Step Six: Assign a point person.

It would be a smart idea to have one person be in charge of managing all of these different things. This person would oversee the procedures and process to assist anyone new coming on board in completing them. They will also know the proper ways to store all the files, they’ll keep a watchful eye for documents coming through the mail, they may have timelines set up for license renewals, etc. This keeps the pressure off of you and gives you the peace of mind that your company is staying compliant.
